Users can modify the results of SmartCoding whether they are (1) using the SmartCoding app or (2) using the inca Dashboard
1. If you are using the SmartCoding App as a separate tool, it means you have manually uploaded you data (verbatims file) in the SmartCoding Directory.
- In the SmartCoding Directory page, once your SmartCoding has been analyzed and generated, the status of your project will change to Ready. To view the results as well as then make changes, simply click on Edit.
2. If you are using the inca Dashboard (Reports Page), it means you want to manually change the coding in your Open End question in your survey project.
- If you only want to tweak a few things and keep the AI generated codeframe, click MANAGE CODING
- If you want to upload your own codeframe and recode all the verbatims, click RECODE.
If I'm not satisfied with the coded results, how can I overwrite the automatic SmartCoding results? (RECODE feature)
Once you click RECODE, you will be asked to confirm the credit usage to redo the coding. If you do not have enough SmartCoding credits, please contact the support team.
You will then be redirected to Step 2 or 3 to review codeframe. To use a new codeframe, you can choose to:
1. Use AI generated codeframe and then brief the AI based on your objectives
2. Copy an existing codeframe
3. Upload a new codeframe
Users can now review the AI-generated codeframe and optimize the output by enabling Brief AI to guide Codeframe generation and by adding a prompt. Adding a prompt or instruction to generate the new codeframe is similar to briefing a human coder. In the prompt, you may include their analysis objectives, what to include, and what to avoid in the codeframe.
Sample prompts:
- Generate a codeframe that reflects the feelings and emotions revealed in the verbatims, that is, how people felt about this rather than what they talked about this
- Based on the verbatims only, generate a codeframe on why this logo are preferred by consumers. What specific elements do they like. Is it the colour, font style, or size
Users can also use the Undo button to undo an action or changes made on the codeframe. Click the Redo button to redo something you've undone, or to repeat the last action. The Redo button only appears after you've undone an action.
Once you are satisfied with the codeframe, click Confirm Codeframe and Proceed with Coding.
Note: Once the codeframe is applied, you can no longer edit it for the current project. Nevertheless, when you have received the coded results, you can still review and optimize the coded results and do manual coding through the inca SmartCoding Studio.
Users will be notified via email once coding is completed. This could take a few moments to several minutes depending on the number of verbatim analyzed.
MODIFY OR MANAGE THE CODED OUTPUT
Once you are in SmartCoding Edit page, you can manually add/remove/edit/merge the codes generated by the AI model. Or if you uploaded the code frame yourself (using SmartCoding App as a separate tool) , you can check the assigned code for each verbatim to check the accuracy of the AI code assignment and make the necessary revisions.
Netcode (Key theme) and Codes
On the SmartCoding page, there are a few things you can do.
A. Add a new code
To add a new code, click+ New Code. In the popup, input the name of the new code (For example, Fun experience), then select the sentiment and select the NETCode (key theme) in which it will be.
On the Verbatim side, simply drag the OE response/verbatim you want to include in the new code. You can also assign the new code to the verbatim by clicking the green+ button and then selecting the new code name in the drop-down list
You can also assign or add a code to multiple verbatims at time by using the search box (Search Verbatims).
In the Search Verbatims box, you can input the code or keyword you want to use. Then click Select All Filtered.
Once all the verbatims have been selected (in blue), simple drag the verbatims to the code you to assign them to on the left side.
You can also drag the Code to right side. Once all the verbatims have been selected (in blue), simple drag the code to the filtered verbatims to assign them to on the left right side.
After dragging, the codes will be assigned on the selected verbatims and will appear just below each verbatim response
B. Add a new NET (key theme)
To add a new Net or NETCode (key theme),click+ New Net. In the popup, simply input the label of the new NET code or key theme.
C. Move a code to a new Net (key theme)
To move a code to a new Net or Netcode, simply click the code (that you will edit) then click Move to Net. You can also select multiple codes by holding the shift keyboard and then selecting Move to Net.
For example, you want to move Enjoyable / liked it (4%) to Netcode User Experience. Simply click on Enjoyable / liked it, then click Move to Net. In the popup, select the new NET it will be under(for example, User Experience) and the Net scores for both User Experience and Generic will be updated.
D. Combine code
Select the codes you want to combine by holding the shift keyboard. After selecting, click Merge.
For example, you want to combine 2 codes Dislike for Typing Answers (2%), and Repetitive Answers (4%) to a new code (User frustrations/barriers). In the popup, You can either use an existing code name or input a new code name. Then select the sentiment and then select the NetCode it will be under.
In the same example, both codes are now combined into one code User frustrations/barriers (6%)
The merge button will always remain clickable. If fewer than 2 codes are selected, an instructional modal will appear instead of the merge modal to guide users on how to merge correctly.
NOTE:
After editing your coding project, closed it and opened it again in the AI directory page or in the Dashboard Manage Coding feature, you will be prompted whether to START OVER or RESUME. Note that once you click START OVER all the changes your have made even if you saved them, the coding modification you have done will not be reflected anymore and lose all the changes made earlier.
Other features:
Changing the name of the SmartCoding instance - Users can edit the name of the SmartCoding instance/project by hovering to the top label and click the pencil icon.
Auto-saving
- Any changes made on the SmartCoding are auto-saved.
Show Original Language
- Users can toggle this button to show the verbatims in the original language

How can I export the results of the coding I just modified?
1. If you are using the SmartCoding App as a separate tool
- Click the Export button and users can export the coded results in Excel, CSV and SPPS format. When downloading in excel format, it will generate the Codes Overview, Coded data, Verbatims with Codes and AI Summarization. Further details are in this article here.
2. If you are using the inca Dashboard (Reports Page)
- When using Manage Coding feature, users will need to click Publish to Dashboard in the Export button to reflect the new coding in the dashboard.
The new coded results will be updated on the Codes output.
